CRM & Automation

Connect the enquiry journey to a process your team can trust.

HighLevel provides the CRM foundation for this solution. Existing Jaranova forms, pipelines, calendars and workflow configuration were reviewed through authorized read-only access. Website capture and downstream actions remain isolated until acceptance testing and approval.

Capability review

Status is stated for each capability. Unverified functionality is not sold as ready to deploy.

01

Lead capture & contacts

Define enquiry fields, consent and identity matching; reuse appropriate existing forms rather than creating duplicates.

02

Pipelines & opportunities

Route accepted enquiries to an agreed pipeline and stage. Prevent duplicate open opportunities and preserve existing ownership.

03

Booking & communications

Use an approved calendar with reviewed availability and notifications. Enquiry permission and marketing subscription are distinct.

04

Follow-up & reporting

Agree triggers, stopping rules, source attribution and reporting fields; published workflows require a side-effect review before live tests.

A visual workflow

From requirements to a reviewed rollout.

  1. Validate inquiry and consent
  2. Match contact and sales opportunity
  3. Offer approved consultation booking
  4. Follow up within agreed permissions

Integration planning

Start with your existing systems.

  • HighLevel contacts/forms/pipelines: configuration read verified
  • Calendar/workflow inventories: read verified
  • WordPress local inquiry prototype: isolated
  • CRM writes, notifications and live booking: not activated

Access, compatibility, provider terms and acceptance testing determine what can be connected. No new subscription is assumed.

Who this helps

Choose by business need.

Plan & timing

Review goals, users, content, data and system access. Agree a dated milestone plan after discovery. Complexity, dependencies and review turnaround determine the schedule; no unverified fixed delivery time is promised.

Quote & approval

Receive a proposal with deliverables, exclusions, responsibilities and acceptance criteria. Provider fees, licenses, media spend and ongoing support are separated where applicable.

Build & support

Review on an isolated environment, test the agreed scenarios and approve the release separately. Handover, maintenance hours, response expectations and change requests are defined in the support agreement.

Questions specific to CRM & Automation.

Does Get a Quote send my inquiry to Jaranova?

Yes. The official Get a Quote form sends your inquiry to Jaranova’s CRM. Online consultation scheduling is being finalized.

Why not simply embed the existing form?

An embed could create contacts and trigger published workflows or messages. Isolation and trigger review must be completed first.

How does contact matching work?

Review location duplicate settings, normalize agreed identity fields and use approved upsert behaviour. Email/phone conflicts must be reviewed rather than merged blindly.

Will repeat inquiries create duplicate opportunities?

The proposed rule reuses the existing open opportunity for the same contact and agreed pipeline/intent. Concurrency and retry behaviour must be acceptance-tested.

Can customers book appointments?

HighLevel calendars exist, but availability and notification side effects need review. The website provides a local booking-interest prototype until activation.

Can Google and Meta attribution be retained?

Supported source/click fields can be mapped with consent. Native attribution behaviour needs end-to-end testing; it is not guaranteed by an API call.

Does inquiry submission subscribe someone to marketing?

No. A service enquiry and optional marketing consent are separate. Automation must respect the approved purpose and channel choices.

What remains before live integration?

Approve an isolated test location or explicit restricted production test; verify triggers, notifications, credentials, duplicate behaviour, consent and rollback.
